WHAT’S THE GIG?
The Production Coordinator is responsible for helping implement and maintain the production workflow and providing administrative support to the Production Department, reporting directly to the Production Manager.
WHAT WILL YOU BE DOING?
Assist with booking approved crew and managing crew workload / schedules
Partner closely with Line Producer/PM to oversee all elements of physical production
Support PM’s crew resource requests and assist with pick up / drop off of props and gear as needed
Create and distribute Pre-Pro books and call sheets for every shoot to both crew and talent
Maintain crew relations in collaboration with Line Producer and PM
Maintain, reconcile and submit PC and corporate credit card receipts and logs
Manage locations spreadsheet and calendar
Ensure craft services and production supplies are fully stocked at all times
Coordinate Production Dept. meetings, schedules and travel
Serve as primary contact for all talent and talent agents
Arrange talent and production staff COVID testing
Manage all travel accommodations
Coordinate transportation for talent to set when necessary
Manage talent apartments by ensuring they are stocked and scheduling housekeeping after every departure. Check-in talent as they arrive.
Assist with booking talent and drafting/tracking contracts
Assist with sourcing replacement talent when last minute cancelations arise
WHAT DO YOU NEED?
Previous production experience highly preferred
Availability in traditional work hours as well as outside hours, including weekends when necessary
Software requirements: Google Suite, Smartsheet, Slack, Trello, Monday.com, Studio Binder a plus
Strong verbal and written communication skills
Team player, “can do” attitude, strong people skills and ability to engage on all levels of the organization and external contacts
Ability to multitask and prioritize in a very fast-paced production environment
Capable of meeting deadlines and working with daily time constraints
Talent for anticipating needs
Maintain confidentiality over all matters and proprietary information
